2. General Information
We take the protection of your personal data seriously.
This Privacy Policy explains what personal data is processed when you visit fan-vault.com, submit your Fan Vault preferences or choose to receive information about the Fan Vault launch.
Personal data is processed in accordance with the General Data Protection Regulation (GDPR) and applicable German data protection law.
Fan Vault is currently an upcoming product. Submitting the interest form does not constitute an order, reservation or purchase obligation.
3. Data Processed When You Visit the Website
When you access this website, technical information may automatically be processed by the web server in order to provide the website securely and reliably.
- IP address
- date and time of access
- requested page or file
- browser type and version
- operating system
- referring website, where transmitted
- technical request and connection information
The purpose of this processing is to deliver the website, maintain technical security, detect misuse and diagnose technical problems.
The legal basis is Article 6(1)(f) GDPR. Our legitimate interest is the secure and reliable operation of the website.
Technical server information is retained only for as long as required for these purposes or where longer retention is necessary to investigate a security incident or comply with a legal obligation.
4. Website and Email Hosting
The Fan Vault website and Fan Vault email services are hosted by:

In connection with hosting and email services, united-domains may process technical information and personal data where this is necessary to provide those services.
Where personal data is processed on our behalf, the processing is carried out in accordance with the requirements of Article 28 GDPR.
5. Fan Vault Interest Form
You may voluntarily submit your interest in Fan Vault through our website.
Depending on the information you provide, we process:
- name, if provided
- email address
- country or region
- preferred Fan Vault size
- preferred lid colour
- preferred lid design
- preferred inlay
- any information you voluntarily enter in the free-text field
- date and time of submission
- a submission reference number
- confirmation that you have acknowledged the Privacy Policy
- information about whether you have chosen to receive Fan Vault launch updates
The information is used to:
- process your Fan Vault interest submission
- understand which Fan Vault variants are most interesting to potential customers
- evaluate demand for sizes, colours, designs and inlays
- improve and plan the Fan Vault product offering
- send you confirmation that your submission was received
- contact you about the Fan Vault launch where you have expressly requested such communication
The processing of the general interest submission is based on Article 6(1)(f) GDPR. Our legitimate interest is to evaluate interest in Fan Vault, plan the product offering and process submissions voluntarily made by visitors.
6. Fan Vault Launch Updates
The option to receive Fan Vault launch updates by email is voluntary and separate from the submission of your product preferences.
We will use your email address for Fan Vault launch or availability information only if you have actively selected the corresponding option.
The legal basis for this processing is your consent pursuant to Article 6(1)(a) GDPR.
You may withdraw your consent at any time with effect for the future by contacting contact@fan-vault.com.
Withdrawal of consent does not affect the lawfulness of processing carried out before the withdrawal.
Your email address will not automatically be used for unrelated newsletters or unrelated advertising.
7. Confirmation Email
After a valid Fan Vault interest submission, we may send a confirmation email to the email address you provided.
The email confirms that your selection has been received and may contain a summary of your selected Fan Vault preferences and your submission reference.
This confirmation is not an order confirmation and does not create any obligation to purchase Fan Vault.
8. Processing Through Our Server Infrastructure
Fan Vault form submissions are processed using our self-hosted automation infrastructure on servers provided by:

The submitted information is validated and stored in a PostgreSQL database within our server environment.
Hetzner provides the technical server infrastructure and may process personal data on our behalf where necessary to provide and secure the hosting service.
Such processing is carried out in accordance with Article 28 GDPR.
9. Temporary Technical Processing in n8n
We use a self-hosted instance of n8n to process Fan Vault form submissions.
Successful Fan Vault submissions are not retained in the n8n execution history.
If a technical error occurs, information contained in the failed execution may temporarily be retained for troubleshooting purposes. Failed execution data is automatically deleted after a maximum of 14 days.
The actual Fan Vault interest information is stored separately in the Fan Vault database as described in this Privacy Policy.
10. Storage Period
Personal data associated with a Fan Vault interest submission is retained only for as long as necessary for the purposes described above.
Personal data will be deleted:
- if you request deletion and there is no legal reason requiring continued storage;
- if you withdraw a consent on which the processing depends; or
- no later than 12 months after the Fan Vault launch or the discontinuation of the Fan Vault project, unless continued storage is required by law.
Where possible, statistical product information may subsequently be anonymised. For example, information such as a preference for a particular size, colour or design may be retained for statistical purposes after information identifying the individual has been permanently removed.
Irreversibly anonymised information is no longer personal data within the meaning of the GDPR.
11. Cookies, Analytics and Tracking
The Fan Vault website currently does not use advertising, analytics or tracking cookies.
We currently do not use:
- Google Analytics
- Google Tag Manager for tracking
- Meta/Facebook Pixel
- TikTok Pixel
- Hotjar
- behavioural advertising
- cross-site tracking
- advertising profiles
We do not currently store information in your browser's Local Storage or Session Storage for tracking purposes.
Website fonts are hosted locally on the Fan Vault website. Your browser therefore does not need to connect to Google Fonts in order to display the website fonts.
If tracking, analytics or other technologies are introduced in the future, this Privacy Policy and, where legally required, the website's consent mechanism will be updated before they are used.
12. Recipients of Personal Data
We do not sell personal data.
Personal data may be processed by service providers where necessary for the technical operation of Fan Vault. These currently include in particular:
- united-domains GmbH for website and email hosting
- Hetzner Online GmbH for server infrastructure
Service providers processing personal data on our behalf are used in accordance with applicable GDPR requirements.
Personal data may also be disclosed where required by law or by a competent public authority.
13. Transfers Outside the European Economic Area
Our core website, email and Fan Vault processing infrastructure is provided through service providers based in Germany.
We do not currently intentionally transfer Fan Vault interest-form data to third countries for advertising or analytics purposes.
If a transfer of personal data outside the European Economic Area becomes necessary in the future, it will only take place in accordance with the requirements of Chapter V GDPR and using the legally required safeguards.
14. Automated Decision-Making and Profiling
We do not use personal data submitted through Fan Vault for automated decision-making within the meaning of Article 22 GDPR.
We do not create behavioural or advertising profiles from your use of the Fan Vault website.
Your selected size, colour, design or inlay does not result in an automated decision concerning you.
15. Your Rights
Under the GDPR, you have the right, subject to the applicable legal requirements, to:
- obtain information about personal data processed about you;
- request correction of inaccurate personal data;
- request deletion of your personal data;
- request restriction of processing;
- receive certain personal data in a structured, commonly used and machine-readable format;
- object to processing based on legitimate interests;
- withdraw consent at any time with effect for the future; and
- lodge a complaint with a competent data protection supervisory authority.

16. Voluntary Provision of Data
Providing information through the Fan Vault interest form is voluntary.
Fields identified as optional do not have to be completed.
However, certain information is required in order for us to process an interest submission. In particular, without a valid email address we cannot send you confirmation or contact you regarding Fan Vault where you have requested this.
17. Children
Fan Vault may also be of interest to younger fans.
If you are under 16, please do not submit personal information on your own where consent from a parent or legal guardian is required under applicable law.
If we become aware that personal data has been submitted contrary to applicable requirements concerning children, we will take appropriate steps to delete the information.
18. Data Security
We use appropriate technical and organisational measures to protect personal data against accidental loss, unauthorised access, alteration, disclosure or destruction.
Access to personal information is limited to persons and technical systems that require access for the purposes described in this Privacy Policy.
19. Changes to this Privacy Policy
This Privacy Policy may be updated if the Fan Vault website, our technical infrastructure, the services we use or applicable legal requirements change.
